What I collect, why I collect it, and what you can do about it.
Who I am
Via Nova is a trading name of David Birchmore, a sole trader based in Torquay, United Kingdom. I’m the data controller for the information described here.

What I collect
When you get in touch
Your name, email address, and anything you choose to tell me in the message. If you book a call, that includes whatever you share about your work situation.
When you become a client
Your contact details, employment history, current role, and the information you give me during sessions. That usually covers your finances, your family circumstances, and your reasons for wanting to leave your current role.
When you take the Scorecard or download a guide
Your name, email address, and your answers to the questions.
When you buy something
Purchases go through Stan Store, which handles the payment. I receive your name, email address, and a record of what you bought. I never see or hold your card details.
When you visit the site
If you agree to statistics cookies, Google Analytics records which pages you looked at, how long you stayed, and roughly where in the world you are. It’s reported to me as anonymous numbers, not as individual people. If you decline, none of it runs.
What I don’t collect. I don’t ask for health information and I don’t record any. Conversations about leaving a role sometimes touch on stress or feeling worn down, and that’s normal, but I don’t ask for a diagnosis, medical history, or anything a doctor would hold. If you mention something of that kind, I won’t write it into your notes. I also don’t collect information about your race, religion, politics, sexual orientation, or trade union membership.
Why I’m allowed to use it
UK GDPR requires a lawful basis for each use. Mine are:

Who else sees it
I don’t sell, rent, or trade your information. I use a small number of suppliers to run the business, and they process data on my instructions under written terms:
- Clockwork CRM, for contact forms, client records, and email marketing
- Stan Store, for purchases and digital products
- ScoreApp, for the Scorecard
- Google, for email, calendar, documents, and Google Meet
- Google Analytics, for anonymous visitor statistics, only where you’ve consented
Some of these are based outside the UK, mainly in the United States. Where that’s the case, transfers are covered by the UK International Data Transfer Addendum or an adequacy decision.
I’ll also share information where the law requires it, or where there’s a serious risk to someone’s safety.
How long I keep it
- Enquiries that don’t lead anywhere: 12 months
- Client records and session notes: 6 years after our work ends
- Financial records: 6 years, as HMRC requires
- Marketing list: until you unsubscribe, then a suppression record so I don’t email you again by mistake
- Scorecard answers: 24 months
- Google Analytics data: 14 months, after which Google deletes it
Keeping it secure
Records are held in password-protected accounts with two-factor authentication switched on. Devices are encrypted. I’m the only person who reads client notes. If there’s ever a breach that puts your rights at risk, I’ll tell both the ICO and you.
Your rights
You can ask me to:
- Give you a copy of what I hold about you
- Correct anything that’s wrong
- Delete it
- Restrict what I do with it
- Send it to you or another provider in a portable format
- Stop using it, where I’m relying on legitimate interests
- Stop sending you marketing, at any point, no reason needed
- Withdraw consent you’ve previously given

There’s no automated decision-making or profiling in anything I do.
Cookies
Cookies are small files a website stores on your device. Some are needed for the site to work, so those load automatically. Everything else waits until you say yes.
The first time you visit, a banner asks whether you’ll accept statistics cookies. That’s Google Analytics, and it tells me how many people visit and which pages they read. Declining is one click and costs you nothing, the site works exactly the same either way.
Nothing loads before you’ve chosen. There’s no advertising tracking on this site and I don’t share visitor data with advertisers.
You can change your mind whenever you like using the cookie settings link in the footer, or block cookies through your browser settings, though parts of the site may stop working properly if you block the necessary ones.
Children
My services are for working adults. I don’t knowingly collect information about anyone under 18.
Changes to this policy
I’ll update this page when things change and revise the date below. If a change materially affects how I use your information, I’ll email you about it.
Complaints
If you’re unhappy with how I’ve handled your information, email me first and I’ll try to sort it out. You also have the right to complain to the Information Commissioner’s Office at any time.
